This tries to fetch all bibliographic data from external sources, and thus saves most of the work.

Please note, that some publishers have a delay between publication of the paper on their website and deposition of its bibliographic data. Thus, if the DOI import yields no result, just try again some days later.

  • Check Relevant for reporting:
    • Yes, if the publication has authors from
      DESY, CFEL, XFEL.EU
or facilities of those institutions (e.g. beamlines, labs etc.) were used
    • No, if no such authors and no facilities were used and you are reporting results for a project managed by
      DESY, CFEL, XFEL.EU

  • On Import the system tries to find known authors in the name list provided by guessing. This may result in errors, especially for common names. If there was more than one matching name the name is marked by a curly line. Usually, those need a closer look. But also unique matches may be wrong. So, please check these automatic guesses thoroughly, as this is important for further processing:
    • If the guess was correct, click the green check mark check mark to approve
    • If you are not sure, do nothing. But beware, your groups editor may come back to you to fiddle it out.
    • If you know that the computer did wrong, please correct the entry by clicking the edit icon edit icon.

If not all people on a given paper are authors, please assign their roles properly by editing edit icon the entry. Please take special care to assign Corresponding author(s) properly. In case one author is a collaboration please mark it as Collaboration author.

  • The following fields can-not be imported and need to be set manually. This works by starting to type and selection from the items presented. Please sort the entries by importance. I.e. if you collaborate with two groups the one that contributed most should appear on top.
    • Grant name / Proposal No.
    • If you have an FS Proposal number type it here and select from the list.
    • For EU funded research add your EU grant, either via its name or its funding no.

E.g to select EUCALL you can either enter EUCALL which will show the proper grant or 654220. Note that the list can present more than one result. However, the full grant name and its funding period allows you to select the proper entry. E.g. EUCALL shows as EUCALL - European Cluster of Advanced Laser Light Sources (2015-10-01 - 2018-10-01).

You can add more than one entry.

General hints

  • There is an online help for each field available via the infoicon (opens in new window or tab).
  • Formulae can be entered as LaTeX inline formulae (e. g. `$\sqrt{\sin^2x_1 + \cos^2x_1} = 1$ or $H_2O$)
  • Please always add your full text in a common format, preferably PDF/a
  • To improve visibility of your research, the library ensures that your uploaded full text is made available in accordance with copyright restrictions.
  • Keep your OpenAccess obligation for EU funded research in mind. In almost all cases you fulfil the requirements already if you upload an authors version of the manuscript (final draft post referee aka postprint). The manuscripts will be delivered to OpenAIRE automatically.
