Person(s)

This field specifies all persons and collaborations involved in the publication.

The fields contain information on the person involved in the contribution: name, institution, and role (function, i.e. corresponding author, editor, etc.).

Manual entry of person(s)

persons.png

Please enter the names (surname, first name) of all persons involved. If possible, select the name from the list of suggestions that actually belongs to the person, preferably an entry including the email address and institution.

Automatic suggestions after import

Names assigned during the import of data are automatically generated suggestions. These results will not always be accurate. You must check these suggestions and correct them if necessary before confirming them. Particular attention must be paid to names underlined in red. The names of two different people may be the same, or institutions may be assigned wrongly. If imported names were complete with person IDs present in our database, the names will appear in black and correctly linked. Since publications lists are created from these data, it is extremely important that the publication is assigned to the correct persons. You must ensure that all persons are correctly assigned. By clicking on the checkmark, you confirm correct assignment (not applicable to RWTH Aachen University); clicking on the editing icon will open a window in which you can correct the entry. Please repeat this process for all persons listed.

Editing and deleting

persons_link.png

If you wish to make a change, click on the icon on the right and an editing window will open. There, you can correct names, change roles, and assign an institution.

If you wish to remove a name, click on the X on the far right.

If the spelling of the name chosen does not correspond to the name as printed on the publication, please list the name as printed on the publication in the field available for notes to the library (“additional information/general notes”). If a name is obviously spelled incorrectly, please specify this in the field available for notes to the library (“additional information/general notes”).

Example:

Name as printed on the publication: Mustermann, M. You select: Mustermann, Max

Please add the note “external ” if the suggestion list does not include the spelling of the name that applies to that person. Please also add the spelling of the name as printed on the publication in the field available for notes to the library (“additional information/general notes”).

Please retain the order of names as printed on the publication since it may indicate to what extent a person contributed to the publication.

By default, all persons involved are initially assigned the role of author. You can change the role in the pop-up dialogue that appears once you select the correct name. Please also remember to assign the correct corresponding author. If a role is incorrect, open the editing window by clicking on the icon and selecting the correct role.

Tips

  • If you have a list of names with a “first name surname, first name surname” or “surname, first name; surname, first name” format, the system will try to make an educated guess once you copy it into the field.
  • If you delete the whole list of names by accident, simply enter the DOI into the import field again to restore the list.
